Managing a single vacation rental and managing a portfolio are two different jobs that happen to share a name.

With one cabin, you know every quirk of the place. With fifteen, you've got a cleaning schedule that looks like air traffic control, three people who need access to different things, and owners who want to know what you're doing for their property specifically.

Most marketing tools are built for the first job and fall apart at the second. You end up with fifteen logins, or one shared password taped to a monitor, or a spreadsheet tracking which listing has which link.

Stays is built with portfolios in mind. Here's how it works when you're running more than one.


Everything Starts with an Organization

On Stays, every property lives inside an Organization. That's your business or brand on the platform. It holds your listings, your team, and your billing in one place.

If you manage properties as "Northwoods Rentals," that's your Organization. Every cabin you list sits underneath it, and each one shows "Hosted by Northwoods Rentals" on its Listing Page.

When you create your Organization, we ask one question: how many stays will this business manage? Your answer sets your Organization type.

The type itself is free. It only controls how many properties and team members the Organization can hold. Every tier gets the same tools, and you can move up as you grow.


Add Your Whole Portfolio Without Retyping It

Nobody wants to fill out fifteen applications by hand. You already wrote those listings once.

That's what Bulk Add is for. From your Properties page, paste the link to each property's existing booking page (Airbnb, Vrbo, your direct site), and Stays AI creates a separate application draft for each one. It pre-fills what it can read: the name, description, property type, amenities, beds and baths, and more.

Drafts show up on your Properties page as they finish, usually a minute or two per listing. You can close the window and come back.

Two honest caveats:

  • It's a first pass. Stays AI can count bedrooms. It can't tell what a place feels like. Read every draft, add what makes each property special, and pick its Special Interests yourself.
  • Photos aren't pulled in automatically with Bulk Add. Each draft gets a placeholder cover until you add photos.

Think of it like a new assistant who did all the data entry overnight. You still need to look it over before anything goes out the door, but you're editing instead of starting from a blank page.


A Quick Reality Check on Curation

Stays is curated. Every property is reviewed by a human, and we only accept what we believe are the top 10% or so of vacation rentals into the Directory.

For a property manager, that means something specific: your whole portfolio probably won't get in, and that's normal.

If you manage forty units, some are showstoppers and some are solid, dependable rentals that pay the bills. We're looking for the showstoppers. A unit that doesn't make the Directory may land in Limited Access, where it still gets a live, shareable Listing Page but isn't discoverable in the Directory. (Limited listings don't count against your property limit.)

Our advice: lead with your best. Submit the five or six properties you'd put on the cover of your own brochure, get those dialed in, and go from there.


Give Your Team the Right Keys

A portfolio means a team. And a team means not everyone should be able to touch everything.

Stays has roles built for exactly that.

Organization-level roles

  • Owner. Full access: team, all properties, marketing, billing, settings.
  • Manager. Manages every property and its marketing, and can view payment history. Can't manage the team or change payment methods.
  • Financial Viewer. Sees payments and transactions. Can't edit listings or marketing.

Per-stay roles

Need to limit someone to specific properties? You can do that too.

  • Stay Owner. Full control of the assigned property, including its marketing and its payment history.
  • Stay Manager. Runs marketing for the assigned property without being able to edit or delete the listing.

Here's how that plays out in real life. Say Riverbend Rentals lists eight cabins. The founder is an Owner. The operations lead is a Manager. The bookkeeper is a Financial Viewer who can pull transaction history without being able to accidentally unpublish a cabin. And the marketing contractor is a Stay Manager on just the two cabins she runs campaigns for.

Everyone has their own login, and everyone has the keys they need. Nobody has the master key who shouldn't.


Your Org Page: A Storefront for the Whole Portfolio

Once two or more of your properties are live, your Organization gets its own public Org Page. That's the page on Stays for your business as a whole.

It shows your logo and cover photo, your story, where your stays are, how long you've been hosting, and every live property you list. Travelers get there from the "Hosted by" link on any of your listings.

For a property manager, this is a big deal. A traveler who loves one of your cabins is one click away from seeing the other seven. It turns a single discovery into a browse through your whole collection.

A few things you control:

  • Whether the page is public at all
  • Whether nightly prices and booking links show on each property's card
  • A featured stay
  • A custom link featured as a button in the page header (your own website, a newsletter signup)

One Dashboard, Every Property

Your Properties page is home base. Every listing in the Organization is there, grouped by status, with search and sorting. Click any property and you're in its Stay Dashboard with its own:

  • Overview and Strength Checklist
  • Analytics (views, booking link clicks, social clicks)
  • Leads and private Invites
  • Offers, Promotions, and Giveaways
  • Inbox for notifications about that property only

No logging out and back in. No juggling accounts. And the notification bell in the top navigation rolls up everything across every property in one list.

On the marketing side, your Organization has a shared Cart. Anyone on your team can build a Promotion or Giveaway and add it to the Cart for someone else to review and purchase. Your contractor builds the campaign. You approve and pay. Nothing gets submitted until checkout is done.


One Host Premium Membership Covers Everything

This is the part that makes the math work for portfolios.

Host Premium is billed per Organization, not per property. Upgrade once, and every property in the Organization gets the benefits: priority placement among listings of the same strength, every Lead, ten Invites per property each month, a second Offer slot, advanced analytics, and 50% off Giveaways and select Promotions.

A Professional Organization with ten properties is paying about $6 a month per property. Add an eleventh and the new property gets Premium too. Your price only changes if you move up a tier, and you'll see that before it happens.


Managing for Clients? You Have Options.

If you manage on behalf of owners, there are two ways to set things up.

One Organization for everything. Best when guests know your brand. All properties sit under your name, and you can give individual owners a per-stay role so they see only their own property.

A separate Organization per client. Best when each owner has their own brand. One Stays account can belong to several Organizations, with a different role in each. Each one has its own team, billing, and Host Premium membership.

One rule of thumb: don't create a second Organization for the same business. If it's one brand, keep it under one roof and invite your people into it.


What's Not Here Yet

We'd rather tell you now than have you go looking.

Direct connections to property management software aren't live yet. It's on our roadmap, and until then, Bulk Add is the fastest way to bring a portfolio over.

And as always: Stays doesn't take bookings, sync calendars, or manage reservations. Your PMS, your channel manager, and your booking platforms keep doing exactly what they do today. Stays sits on top of all of it as the marketing layer.
